Outreach Materials and Equipment

The Development and Communications team want to make you all aware of a few changes in outreach materials and equipment. As an effort to make materials, equipment, and giveaways more accessible to all staff when attending resource fairs we have changed some things around.

Organizations of Brochures & Flyers

First,all outreach materials are now displayed on the shelves between Mikayla’s desk and the cabinets that hold office supplies. The materials have been organized, labeled and displayed for easy access to all staff as well as for easy clean up/returning of materials after a fair.

  • We ask each one of you to please help in the effort of maintaining organization by by putting materials back where they go. Please do not hesitate to ask for Stephanie’s assistance. She will be glad to help put materials back and show you where things go, but she cannot do so if she is not aware of items being left in the wrong place.
  • If you do not see materials from your program and want them to be available to everyone performing outreach, please email Stephanie or come talk to her in the office so that she can make space for your materials.

Equipment – tablecloths, tents, carts, etc.

When it comes to equipment (tablecloth, tents, carts, etc.), we are creating a new procedure to log what equipment has been taken and by whom. This will help us keep track of where things are, to help staff locate items they need for outreach events.

  • If you have any equipment at the moment please email Stephanie and let her know. She will create a sign in sheet that to keep track of the equipment.

Give-Aways

Last but not least, there are giveaways in the copy room for staff to take to events. Use the All-Staff Meeting as an opportunity to become familiar with what’s available and stock up on items you might need for outreach. If anything is running low feel free to let Stephanie know and she will let the program responsible for ordering those know, if it is not her.

Following are some Frequently Asked Questions about outreach materials. If you have any questions, please let Stephanie know!

Who orders or prints flyers and brochures when they run out?

  • Departments are responsible for ordering or printing resource materials that are specific to your project. You are closest to the work and have a better understanding of program needs, available funding and timelines for your initiatives.
  • Comms will re-order agency-wide materials including the FCSN trifold brochures, the 1-pager recently developed and in the process of being translated, and materials related to Visions of Community.

Where can programs order flyers, brochures, and printed materials?

The primary vendors we work with and recommend are Sterling Printing and Staples.

  • Sterling provides high quality with strong oversight/quality control for more complex materials
  • Staples is fast and works fine when you don’t mind a white border around the edges of a printed piece, or when the task is relatively simple.

What about large format banners, tablecloths, and signage for events?

Specialty items often involve a design component, so Comms will typically place these orders as part of our work to customize your marketing materials for your events. However, programs are also free to order this type of materials to move things along faster.

Again, we work with Sterling and with Staples; and additionally we recommend Studio 24 Graphix

What about Give-Aways?

In general, programs order giveaways when you have funds in your outreach budget. We recommend Sterling Printing due to their commitment to quality control. Online vendors are sometimes less expensive, but you are more likely to experience errors and quality issues.

How should Comms be Involved?

If you’re ordering for the first time, please send the proof of the artwork to fcsncomm@fcsn.org for review. However, if you’re in a rush, Program Directors or Managers may approve orders as long as they are using an approved FCSN logo, which can be found on this page in the staff portal – under the Communications button in the Forms & Procedures section.
